HVAC Review Response Examples

Think about when people actually leave you a review. Not when the system has been humming along fine for eighteen months. They leave a review the week it dies in July, or the day after they open an invoice that's bigger than they expected. Those are the two worst moments in the entire customer relationship, and they're exactly when someone's phone is out typing.

That's why an HVAC company's review page reads angrier than the actual customer base feels. The happy calls, the routine tune-ups, the units that just work, those people don't think to log in and say so unless you ask them to. So your public reputation gets built almost entirely out of breakdowns and bills. It's a skewed sample, and it's fixable, but first you have to answer the reviews you've already got. Below are nine of the situations we see most often on HVAC profiles, with a response for each one.

The capacitor sticker shock

REVIEW: "Called them out for AC not cooling. Tech was here 20 minutes, said it was the capacitor, charged me $400. Looked it up online, the part is $20. Felt like I got taken."The part is cheap. What you paid for is a licensed tech who showed up same day, diagnosed it correctly in 20 minutes instead of guessing, and had the right capacitor stocked on the truck instead of ordering one and leaving you without AC for a week. That visit also carries a warranty on the part and the labor. Happy to walk through the invoice line by line if that's useful.

Praise for the 2am emergency call

REVIEW: "AC died at 2am during that heat wave. Called the emergency line not expecting much and someone actually answered. Tech was at our house before 4am. Can't thank them enough."That's the call we want to get right, because 2am in July is when it matters most. Thanks for trusting us with it and for taking the time to write this. We'll pass it on to the tech who took that shift.

The maintenance plan customer who feels upsold

REVIEW: "On the maintenance plan and every single visit they find something else that 'needs' fixing. Starting to feel like the plan just exists to sell me stuff."Fair thing to flag, and we take it seriously. The plan visits are built to catch small problems before they turn into a breakdown, which means we're going to notice things a once-a-year checkup misses. None of it is required, and no tech gets a bonus for finding extra work. If a recommendation felt pushy, tell us which visit and we'll look into it directly.

The no-cool callback

REVIEW: "Had them out for no cool air. Left, still wasn't cooling that night. Had to call back and they came out again, fixed it the second time. Shouldn't take two visits."You're right that a second trip is an inconvenience, and we're sorry you had to make that call. Some no-cool issues only show up once the system's run for a while, which is what happened here. Glad the second visit got it sorted and stayed fixed. If it acts up again, call and we'll bump you to the front of the line.

Praise that names the tech

REVIEW: "Mike came out for our furnace and was fantastic. Explained what he was doing the whole time, showed me the part he replaced, cleaned up like he was never there."Mike does good work and it shows. We'll make sure he sees this, he'll appreciate it. Thanks for taking the time to name him specifically instead of just rating the visit. That kind of detail tells us what's actually working and who deserves the credit for it.

The 1-star from outside the service area

REVIEW: "Called for a quote and they told me they don't service my area. 1 star, waste of my time."We don't cover every zip code in the region, and turning down a job we can't get to properly is better for you than us showing up late or overbooked. Sorry the call didn't end with an appointment. If you want a referral to a company that services your area, call the office and we'll point you in the right direction.

The competitor-bid comparison

REVIEW: "Got a quote from these guys, then got a second quote from another company for literally half the price. Feels like I almost got ripped off."A bid that's half ours usually means a different scope, not a better deal, whether that's an unlicensed installer, a smaller unit than your home needs, or no permit pulled. We'd rather lose the job than win it by cutting corners you'd pay for later. Bring us the other quote and we'll go through it item by item so you can see exactly what's different.

Praise for honest advice not to replace the unit yet

REVIEW: "Expected them to tell me I needed a whole new system. Instead the tech said it had a few more good years left and just needs regular maintenance. Really appreciated the honesty."We'd rather keep your system running another few years than sell you one you don't need yet. That's the whole point of sending a real technician instead of a salesperson. Thanks for writing this, it's the kind of review that tells other homeowners what to expect from us.

The blank 3-star

REVIEW: "3 stars"We noticed the rating and would genuinely like to know what happened. A 3-star with no detail usually means something didn't go quite right, and we can't fix what we can't see. Call or email the office with your name and the date of service and we'll look into it directly.
